How to connect and synchronize your Sophiie invoices with Xero.

The Xero Integration allows you to connect Sophiie with your Xero account, enabling seamless synchronization of invoice data. Invoices created in Sophiie can be synced to Xero, while payment updates from Xero are reflected back into Sophiie. This ensures your records remain consistent across platforms and helps streamline your invoicing workflow.

Setup and Connection

To connect your Xero account with Sophiie, follow these steps:

  1. Navigate to Invoice Settings

    • Log in to your Sophiie account.

    • Go to the Invoices section.

    • Click on Invoice Settings.

  2. Connect to Xero

    • In the Xero Integration section, click the Connect button.

    • You will be redirected to the Xero login page.

  3. Grant Permissions

    • Log in to your Xero account.

    • Select the organization you want to connect.

    • Review the requested permissions and click Allow access.

  4. Successful Connection

    • Once connected, you'll see the name of your Xero organization in the integration section.

    • The Sync Now and toggle options will become available.

 

How It Works

Auto-sync Invoices

If the Auto-sync invoices toggle is enabled, Sophiie will automatically sync your invoices to Xero after changes are made. This ensures that updates happen in near real time without manual effort.

If the toggle is disabled, you can still manually push updates by clicking Sync Now in the integration section.

Pull Payment Status from Xero

When the Pull payment status from Xero toggle is enabled, Sophiie will listen for invoice status updates and payments recorded in Xero. These updates will be reflected in Sophiie automatically.

If this toggle is disabled, you can still pull updates by clicking Sync Now to fetch the latest status and payment information from Xero.

Limitations

While the Xero Integration is designed to make syncing easy, there are a few limitations to be aware of:

  1. Country and Currency Matching

    • The country and currency set in your Sophiie account must match those in Xero. If they don't match, the connection will be rejected.

  2. Single Organization Support

    • Sophiie supports connecting to only one Xero organization at a time.

    • If you connect a different organization, the previous one will be replaced.

    • Invoices previously synced to another organization will no longer sync.

  3. Manual Syncing When Toggles Are Off

    • If Auto-sync invoices is off, you must sync invoices manually.

    • If Pull payment status from Xero is off, payment updates must be pulled manually.

 

How to Disconnect

If you need to disconnect your Xero account from Sophiie, follow these steps:

  1. Open Invoice Settings

    • Go to the Invoices section and click Invoice Settings.

  2. Disconnect Xero

    • In the Xero Integration section, click the Disconnect button.

    • Confirm the disconnection when prompted.

  3. After Disconnection

    • Sophiie will no longer sync invoices or receive updates from Xero.

    • The integration options will be disabled until you reconnect.

  4. Custom Tax Rates

    • If your Sophiie organization has custom tax rates set (different from the default), you may see incorrect tax or total amounts in Xero after syncing.

    • This is only a display issue. Once the invoice is approved, the correct tax and total will appear in Xero.

What happens if I disconnect my Xero account?

If you disconnect:

  • Invoices will no longer sync between Sophiie and Xero.

  • Payment updates will stop being pulled from Xero.

  • Any previously synced invoices in Xero will remain unchanged, but will no longer receive updates from Sophiie nor send update to Sophiie.

What if I try to sync an invoice from a different Xero organisation?

Invoices that were previously synced to a different Xero organization than the one currently connected will be ignored and will not sync.
