What's on a contact record in Sophiie?

A contact record holds everything about one customer — their details, jobs, quotes, invoices, enquiries, notes, reminders and tags. It opens as a drawer sliding over whichever list you're in: click a contact in Contacts, or click View customer in a conversation header in Inquiries.

What's in the drawer

At the top you see the contact's name, which you can edit with the pencil beside it. Under that, the Details card holds their phone and email, both edited in place. Addresses is its own section below. There's no business-name field on a contact — business details come from linking the contact to a company record via Add to company; anything business-level (including communications across all of that company's contacts) lives on the company record.

Below that, the record is a stack of collapsible sections, each with a count in its header (a section loads its list when you open it):

  1. Jobs — the customer's booked and past jobs.
  2. Quotes — quotes shipped here too (no longer "coming soon").
  3. Invoices — same.
  4. Inquiries — their calls, texts, emails, chats and web forms.
  5. Notes — notes your team has left on the contact.
  6. Reminders — follow-ups tied to this contact. Reminders live here on the record — there's no separate all-reminders page.
  7. Tags — labels on the customer, like "VIP", "Supplier" or "Family member". You can add these yourself, and Sophiie also adds some of her own after she's read a call.

Clicking a job, quote or invoice row opens that item stacked over the contact — your Back button closes one layer at a time.

You can also ask Sophiie to make the edit for you — Edit with Sophiie on the record takes a plain-English instruction like "update the mobile number to…".

Calling, texting and emailing the contact

The drawer has a pinned footer with Call, Text and Email:

  • Call opens your device's dialler.
  • Text and Email open a composer over the record — you stay where you are.
  • A greyed-out button shows a tooltip explaining why: the contact has no mobile number, your Sophiie number can't send SMS, or no email account is connected.

Common Questions

Where did Customer Insights / Activity Summary / Activity History go?

Those panels belonged to the old dashboard and don't exist in the current one. The same information now lives in the record's sections — Jobs for job history, Inquiries for communication history, Notes for team activity.

Can I mark a call outcome ("no answer", "left a voicemail")?

Not in the current dashboard. The Call button opens your dialler and doesn't log an outcome — use a Note on the contact to record how the call went.

Do a customer's tags show up when they call?

No. The tags you see on an enquiry are the enquiry's own tags (like "Booking request"), not the customer's. Customer tags aren't shown during the call either — Sophiie reads the transcript after the call ends and writes enquiry tags and any customer tags shortly after it finishes. To see a customer's tags, open them in Contacts.

How do I archive this customer's enquiries?

From the conversation in Inquiries: each enquiry card's own menu archives that single enquiry, and the customer menu in the conversation header has Archive all inquiries.

Need More Help?

If contact details look wrong and won't save, or a section isn't loading, ask Sophiie Assistant in your dashboard first — she can guide you or make the change for you. Still stuck? Email support@sophiie.ai or call +61 7 5620 4640 with the contact's name.
