How to Customize Your Chatbot Greeting and Closing

Learn how to customise your chatbot greeting, after-hours message, and closing to deliver a clear, friendly, and consistent chat experience for your customers.

Navigating to the Chatbot Greetings and Closings Section

  1. Log into your Sophiie dashboard.

  2. Go to the Train Sophiie menu.

  3. Find and click on the Greetings and Closings section.

Customizing Your Chatbot Greeting

  1. Look at the top of the page for the chatbot greeting section. Next to the Phone Calls tab.

  2. Type your desired chatbot greeting message into the text box, or click the Generate Response button to create it automatically. You can also use the Voice Input button to speak your greeting if you prefer.

  3. You can add variables like your business name and Sophiie Agent name to personalize the greeting.

Adding an After-Hours Chatbot Greeting

  1. Scroll down to the after-hours chatbot greeting section.

  2. Customize this greeting or use the Generate Response button.

  3. You can also use the Voice Input option to speak your after-hours message.

  4. Personalize it with variables like your business name and Sophiie agent name if needed.

Setting the Chatbot Closing Message

  1. Locate the chatbot closing message section.

  2. Type in your closing message, or use the Generate Response or Voice Input button to create it.

  3. Add any variables you need for personalization.

  4. Save all your changes at the top of the dashboard page.

Frequently Asked Questions

Why is there no need for a recorded line disclosure?
Chatbot interactions are text-based and not recorded in the same way as phone calls, so you don’t need to disclose that the interaction is being recorded.

How do I test the chatbot greeting and closing after I set them up?
You can test the chatbot by interacting with it from your dashboard before embedding it on your website. This lets you see how the greeting and closing appear to users and make any adjustments if needed.  Go to Settings > Chatbot and choose Preview Chatbot.

Can I have different chatbot greetings for different times?
Yes, you can set a standard chatbot greeting and an after-hours greeting.
