How do quotes work in Sophiie?
Quotes live in the Quotes area of your dashboard, with two views: an Overview that sorts things into Quote requests, Accepted and Expired groups, and an All view listing every quote. Your customer accepts or declines through a link you send them — no login needed on their end. Quotes needs to be set up and switched on first — if you see "Quotes not set up" or "Quotes is turned off", an owner or admin can turn it on at Settings → Quotes.
The Overview
The Overview groups what needs attention:
- Quote requests — customer enquiries asking for a quote, where you haven't written one yet. A request drops off this list once you create its quote.
- Accepted — quotes your customer has accepted that still need a job booked. Once you book the job, the quote drops off this list.
- Expired — quotes whose Valid until date has passed.
The All view

What your customer sees
When you send a quote, your customer gets a link to a quote page where they can Accept or Decline — they don't need a Sophiie account or a login. Once accepted, the quote shows as accepted in your dashboard, and you can turn it into an invoice — see "How do I create an invoice and record a payment?"
Where quotes come from
- Build one in the Quotes area — the steps are in "How do I create and send a quote?"
- Start one straight from a customer enquiry in Inquiries, without leaving the conversation — see "How do I reply to and action an enquiry?"
- Your standard expiry, numbering and footer are set once at Settings and applied to new quotes — see "How do I set my quote and invoice defaults?"
Common Questions
Can my customer accept a quote without logging in?
Yes — the quote link opens a public quote page where they can Accept or Decline. No account needed.
Why is my quote showing as Expired?
Its Valid until date has passed. Your default expiry for new quotes is set at Settings — see "How do I set my quote and invoice defaults?"
What happens when a customer accepts?
The quote shows as accepted in your dashboard and moves to the Accepted group on the Overview, where it waits until you book the job. To turn it into an invoice instead, open the quote and choose Convert to invoice.
