How do I import my customers into Sophiie?

Go to Contacts and click Import — you can upload any spreadsheet with a header row, map your columns onto contact fields, and confirm. Import is a paid-plan feature: on a free plan you're asked to upgrade instead, and if your subscription is paused you're asked to restart it first.

Steps

  1. Go to Contacts and click Import in the page header, beside Add contact and above the search field. (On a narrow screen it folds behind the three-dot menu.)
  2. If you're starting from scratch, grab a template from the Before you start panel — Sample CSV or Sample XLSX. This is optional: any spreadsheet with a header row works, straight from whatever system you're leaving.
  3. Upload your file — drag and drop it into the box, or click to browse. CSV, XLSX and XLS files are accepted.
  4. Map your columns. The next step lists every column in your file with a drop-down to match it to a contact field — First name, Last name, Email, Phone or Address. Sophiie pre-guesses the common ones from your header text; anything you don't want, set to Don't import.
  5. Fix anything flagged. Phone numbers are normalised using your organisation's country, so local formats are fine. A number that can't be resolved is reported per row at the validation step, with a suggested correction where one can be worked out.
  6. Confirm, and your contacts are imported.

Only those five fields are imported: First name, Last name, Email, Phone and Address. Columns like suburb, business name, tags, Instagram or Facebook aren't accepted any more — they simply map to Don't import, so any data in them won't come across.

Common Questions

Do phone numbers have to be in international format (61...)?

No. Local formats are accepted — numbers are normalised using your organisation's country. The sample template recommends including a country code, but it isn't required. Anything that can't be resolved gets flagged row by row before the import runs.

Do I have to use the Sophiie template?

No. The fixed-template requirement is gone — upload any spreadsheet with a header row and map the columns yourself in step 2. The templates are just a convenient starting point.

Why can't I see the Import button?

Two likely reasons: on a narrow screen it sits behind the three-dot menu in the Contacts page header, and importing is a paid-plan feature — on a free plan you'll be asked to upgrade instead of seeing the import drawer, and if your subscription is paused you'll be asked to restart it first.

Can I import tags or business names?

Not through the importer — it accepts First name, Last name, Email, Phone and Address only. Tags are added manually on each contact, and a business name comes from linking the contact to a company record.

I imported the wrong file — how do I undo it?

There's no undo button, but you can clean it up yourself on the Contacts page: bulk-select the imported contacts and delete them, one page at a time. If the import was large and that's too much clicking, ask Sophiie Assistant in your dashboard to help, or contact support and we'll sort it out with you.

Is there a limit on how many contacts I can import at once?

Yes — up to 1,000 contacts in one import (blank rows aren't counted). If your spreadsheet has more rows than that, the upload stops before anything is imported and tells you how many rows it found. Split the file into smaller ones and import them one after another.
