How do I connect Sophiie to Zapier?
Sophiie's Zapier app lets events in Sophiie — like a new lead or a changed appointment — trigger automated workflows in thousands of other apps. The Zapier card at Settings → Integrations (Automation tab) has a Connect button before you've connected, and an Open button afterwards. Either one opens zapier.com in a new tab — the setup itself happens on Zapier's side. Once a Zap is running, the card shows the connection's status.
A Zap is a workflow in Zapier that connects two or more apps: a Trigger (an event in Sophiie) and one or more Actions (tasks performed in other apps). When an event occurs in Sophiie, Sophiie notifies Zapier, and Zapier runs your workflow — for example, a new lead in Sophiie creates a contact in your CRM, an updated appointment status emails your team, or a new inquiry adds a task to your project management tool.
Steps
- In Sophiie, go to Settings → Integrations, open the Automation tab and click Connect on the Zapier card — it opens Zapier in a new tab.
- Log in to Zapier (or create an account) and open the Sophiie listing at https://zapier.com/apps/sophiie/integrations. (That's the whole address — there's no "sophiie-ai" version, so if you've typed one in and hit a "page not found", that's why.)
- Create a Zap and choose a Sophiie trigger (for example, New Lead Created). When prompted, log in to your Sophiie account securely using OAuth.
- Choose the action you want Zapier to perform in the connected app (for example, create a contact in your CRM) and configure the workflow as needed.
- Test your Zap to ensure it works as expected, then activate it.
Supported triggers
The following events in Sophiie can trigger workflows in Zapier:
- New Lead Created — automatically initiate actions when a new lead is added to Sophiie.
- Lead Status Changed — trigger workflows when the status of a lead is updated.
- New Appointment Created — start workflows when a new appointment is scheduled in Sophiie.
- Appointment Status Changed — trigger actions when an appointment is rescheduled, cancelled or updated.
- New Inquiry Created — automate tasks when a new inquiry is received in Sophiie.
These triggers let you connect Sophiie with external tools like CRMs, email platforms, task management systems and more.
One direction only
Sophiie's own Zapier triggers only send data out, and there's no Sophiie action in Zapier that writes back. If you want a Zap to push data into Sophiie, that's done with the Sophiie API instead — grab a token at Settings → Workspace → API token and use Zapier's Webhooks or Code step. The API has write endpoints for customers (called leads in the API), services, products, scenarios, FAQs and transfers, and can send an SMS or place a call.
Common Questions
Does my CRM or booking system connect via Zapier?
Check whether it's part of the Zapier ecosystem — if it is, Sophiie can reach it through Zapier. Browse the directory at https://zapier.com/apps.
Do I need coding skills to use the Zapier integration?
No. Zapier is designed to be user-friendly and doesn't require coding — you set up workflows through its interface.
Can I use multiple triggers in one Zap?
No — a Zap has one trigger. Create a separate Zap for each trigger you want to automate.
What happens if my Zap fails?
Zapier provides detailed error logs and troubleshooting steps to help you resolve issues — check there first, and confirm the Zap is switched on. Note that a Sophiie–Zapier connection can exist without any active Zap subscribed to it, so "connected but nothing firing" usually means the Zap itself isn't active rather than a broken connection.
Need More Help?
If your Zaps aren't firing and Zapier's logs don't explain why, ask Sophiie Assistant in your dashboard first — she can guide you or make the change for you. Still stuck? Email support@sophiie.ai or call +61 7 5620 4640.
