How do I add a team member in Sophiie?

You add team members at Settings → Business → Team in your Sophiie dashboard. Click Add person, fill in their details, set their access, and they'll get an invite — on STARTER, PRO and MAX plans there's no limit on how many people you can add.

Steps

  1. Go to Settings → Business → Team. (Old bookmarks to Train Sophiie → Team will redirect you here.)
  2. Click Add person. A drawer opens with three tabs: Details, Access and Availability.
  3. On the Details tab, enter their first and last name.
  4. Enter their Email. This is where the invite goes, and it becomes their sign-in email for https://app.sophiie.ai. Get it right the first time — while the invite is still waiting, the address can't be edited, so you'd need to revoke the invite and add the person again. After they accept, an owner or an admin can change it, and a 6-character code is sent to the new address to confirm the change.
  5. Enter their Phone if they want text notifications or calls transferred to them. A new invite takes the number as typed. Changing it later is stricter: a 6-character code is sent by SMS to the new number, and you get 3 tries with a resend available after 30 seconds. If you change the email and the number in the same save, one code goes to the new email address and covers both. An owner, an admin or the person themselves can make the change.
  6. Pick their departments if you use them — they appear as chips on the Details tab. Departments themselves are created under Settings → Transfers → Departments, not on the Team page.
  7. On the Access tab, start from one of three templates — Full access, Office or Field — then fine-tune the individual toggles if needed: Inquiries, Contacts, Tasks, Quotes, Invoices and Settings, plus Billing, Team and Integrations under Admin access. A hand-tuned mix shows as Custom. Home, Jobs and Schedule are always available to everyone, and the account Owner is separate and can't be edited.
  8. On the Availability tab, use Time off & unavailability to record leave or holidays so Sophiie knows not to transfer calls to this person on those dates. Each row takes a Reason (e.g. annual leave), the dates, optional times, and a Repeats picker (it starts at Does not repeat). Click Add time off to add the row.
  9. Click Send invite and the invite is on its way.

Managing invites and removing people

Until someone accepts their invite, their row on the Team page shows Invite pending. From there you can resend the invite if it's expired or gone missing, or revoke it if it went to the wrong address — revoke, then add the person again with the right email.

To take an active person off your account, use Remove on their row. Their jobs stay as they are — removing somebody does not take them off jobs that are already booked, so check the schedule and move those jobs to somebody else yourself. Everything else is cleaned up for you: any transfer rule that pointed at them is deleted, so callers are never put through to a person who has left. They're taken out of every department, and if that leaves a department with nobody in it, the department is switched off and its transfer rules are switched off with it. They're removed from the team list on every service, so Sophiie stops offering them for new bookings. Their notification rule, their time off and their own working hours are deleted, and any task assigned to them becomes unassigned. If the invite was never accepted, the whole invite is deleted and you can invite that email address again straight away.

Transferring ownership

The account Owner role can be handed to another team member, and only the current owner can do it — the option is on the Team page. Admins can't transfer ownership, so if the business changes hands, make the transfer while the outgoing owner still has access.

Common Questions

Can I add unlimited team members?

On STARTER, PRO and MAX plans there's no seat cap. FREE accounts, ENTERPRISE accounts, some older PRO accounts and any account with a payment problem do have a limit — if you hit a cap you'll see "Your plan has no seats left. Change the plan in Billing to add more people." You change your plan yourself at Settings → Workspace → Billing; there's no need to contact us to buy seats.

Will Sophiie use their names on calls?

Yes. When a transfer rule points at a person, the name callers hear is taken automatically from that person's first and last name — there's no separate label to type. If two people share a first name, Sophiie asks the caller which one they mean rather than guessing.

Do I need to use a person's actual name?

No — you can use names like "Team Member" or "Admin Staff". Just remember that whatever you enter is the name Sophiie uses on calls when transferring to that person.

What happened to the escalation point toggle?

It's no longer part of the product. The team member drawer has just the three tabs — Details, Access and Availability — and there's no escalation-point setting for late-invoice follow-ups anywhere in it.
