How do companies work in Sophiie?
A company is its own record type in Sophiie, alongside individual contacts. Link contacts to a company and their jobs, quotes and invoices roll up to the company record — handy when you deal with a business through several different people.
Where companies live
Go to Contacts in the left sidebar. The list has three tabs — All, Individual and Company — and the Company tab shows every company record with its email, telephone, linked contacts and last interaction. Click a row to open the company record.
Creating a company
There are two ways:
- From the Contacts page, click Add contact, then pick Company under Type at the top of the New contact drawer. Fill in the Business name and save — the button reads Add company.
- Straight from a person: open the contact, click Add to company and type the business name. If no company matches, a row appears reading Create company "the name you typed" — click it and Sophiie creates the company and links the contact to it in one step. There's an optional business-number field beside it if you have that handy.
Linking and unlinking contacts
Open a contact and use Add to company to link them. Two things flow from that link:
- The contact's business name comes from the company record — there's no business-name field on the contact itself. The contact always shows the company's current name, so renaming the company updates every contact linked to it.
- Their jobs, quotes and invoices roll up to the company record.
To unlink, you can work from either record:
- On the contact, the company name shows under their name with a broken-link icon beside it. Click the icon and confirm on the Remove from company? message.
- On the company record, open the Contacts section, hover the person's row, click the bin icon and confirm on the Remove this contact? message.
Either way the contact is kept — only the link to the company is removed, and the company itself isn't deleted.
What the company record shows
The company record gathers up the jobs, quotes and invoices of its linked contacts, and aggregates communications across all of them — so you can see the whole relationship with that business in one place.
Those sections only roll up — they're read-only lists, with no button to create anything there. Jobs, quotes and invoices are always created against an individual contact, never against a company. To raise one for a business, open the contact you deal with and create it there; it then appears on the company record as well.
Promoting a contact
"Promoting" a contact means turning the business name you typed into a real company record and linking the contact to it, in one step. It's not a separate button — it lives inside the Add to company dialog on a contact record. Search for the business, and if no company matches the name exactly, a row appears reading Create company "the name you typed". Click it and Sophiie creates the company and links the contact straight away. The contact isn't changed into a company — they stay an individual contact, now linked to the new company record.
Common Questions
How do I record which business a customer works for?
Link them to the company with Add to company on their contact record. Their business name then comes from that link — there's no separate business-name field to fill in.
Can a contact belong to more than one company?
No — a contact can belong to one company at a time. If they're already linked to another company, Sophiie stops you with the message "Contact is already linked to another company." Remove them from the first company, then link them to the new one. If you genuinely need the same person under two businesses, add them as a second contact.
Why does the Company tab show "Contacts" where the Individual tab shows "Tags"?
That column lists the contacts linked to each company — it's how you see at a glance who belongs to which business.
